Terms and Conditions

These terms and conditions (the “Terms and Conditions”) outline the services provided by Uniquely Italy, LLC to you and your group.

 

Definitions & Contract Formation

Definitions For the purposes of these Terms & Conditions:

  • “Uniquely Italy,” “we,” “us,” or “our” refers to Uniquely Italy LLC.

  • “Client,” “you,” or “your” refers to the individual making the booking and all persons included on the booking.

  • “Services” refers to travel planning, design, coordination, concierge services, and related arrangements.

  • “Suppliers” refers to third‑party providers including but not limited to hotels, tour operators, transportation providers, guides, and experience partners.
     

Contract Formation A binding contract is formed once Uniquely Italy has received written acceptance of a proposal and/or payment of a deposit or planning fee. The individual making the booking warrants that they have authority to bind all members of the traveling party to these Terms & Conditions.

Crafting Your Ideal Itinerary

Uniquely Italy, LLC specializes in creating personalized luxury travel experiences tailored to your specific desires and preferences. We collaborate with trusted partners who offer accommodations, including hotels, villas, and unique properties (collectively, the “Accommodation”), as well as premium transportation, activities, and other services (collectively, “Local Services”). Each itinerary is carefully curated to ensure the highest standards of service and privacy. 

 

A Planning Fee applies to all new trip designs. This fee is non-refundable and  reflects our commitment to crafting exceptional, personalized experiences and the extensive research involved in creating your perfect Italian journey. â€‹

Note: For complex itineraries or multi-destination journeys, the Planning Fee may be adjusted accordingly. Your travel specialist will discuss any adjustments before beginning the planning process.

Accommodation

We arrange Accommodation based on your selection type. Each Accommodation provider may have specific terms and conditions that govern your reservation, which will take precedence over these Terms and Conditions. 

 

Role as Agent vs. Principal

Uniquely Italy acts primarily as an agent for third‑party Suppliers. In such cases, your contract for travel services is directly with the relevant Supplier and subject to that Supplier’s terms and conditions. Uniquely Italy does not own, operate, or control such Suppliers and is not responsible for their acts, omissions, errors, or defaults.
 

In limited circumstances where Uniquely Italy acts as principal, this will be expressly stated in writing.

Local Services and Experiences

Local Services are provided by independent partners (the "Partner"). These Terms and Conditions govern the Local Services provided by the Partner.

For dining experiences, we are pleased to provide restaurant recommendations and booking services based on our extensive experience and client feedback. Please note:

  • Some restaurants may require a credit card upon booking or direct online reservation.

  • If a restaurant is unavailable, a comparable option will be offered.

  • Unless otherwise specified, all meals and beverages are to be paid directly to the establishment by the Client.
     

While we will communicate any food allergies or sensitivities to restaurants and culinary experiences during booking, it is the client's responsibility to confirm these directly with the restaurant or experience partner upon arrival.

Booking and Itinerary Confirmation

Bookings can be initiated via phone, online inquiry, email, or through Social Media. Once we receive your request, we will gather all necessary information to create your itinerary. Before confirming the itinerary, Client will be presented with: (i) a preliminary quote, (ii) access to these Terms and Conditions, and (iii) a link to the payment platform for the Confirmation Deposit. A contract between you and Uniquely Italy, LLC will be established upon your acceptance and payment of the deposit (“Confirmation”). Upon Confirmation, you will receive a final itinerary.
 

Agreement Upon Booking

When booking with Uniquely Italy, LLC, the primary person on the booking (the “Lead Booker”) agrees on behalf of all named persons that they:

  • Have read and agree to these Terms and Conditions.

  • Consent to the use of personal data in accordance with our Privacy Policy.

  • Confirm they are authorized to share personal details, including special categories of data (e.g., health conditions, dietary requirements).

  • Are at least 21 years old and have obtained permission from all travelers to act as the "Lead Booker".

  • Accept financial responsibility for the booking on behalf of all persons named.


Failure to comply with these Terms and Conditions may result in the following:

  • You may risk cancellation of your booking.

  • You may risk forfeiture of any payments made.

  • You may risk being denied access to Travel Services.

  • You may be held liable for any costs incurred by Uniquely Italy, LLC or its Travel Partners.
     

For transfers, we assume each passenger will have one checked bag and one carry-on. If additional luggage is anticipated, please notify us to arrange appropriate transportation.
 

Checking Your Documents

It is your responsibility to review the Proposal, itinerary, and all related documents upon receipt. If any information is incorrect or incomplete, contact us immediately.

 

Client Responsibilities

You are responsible for ensuring:

  • Passport validity, visas, residency permits, and entry requirements

  • Health documentation, vaccinations, and travel clearances

  • Accuracy of traveler names and personal details

  • Compliance with local laws, customs, and regulations
     

Uniquely Italy is not responsible for costs, delays, or losses resulting from incomplete or incorrect documentation.

Itinerary Acceptance

Once your itinerary is confirmed, we will secure all necessary arrangements and services to ensure a seamless travel experience. Availability and pricing may change, so we recommend confirming bookings promptly. Any changes made after the Confirmation Date may impact your experience and incur additional costs. Note that service prices may vary, and additional charges may apply if hotel names or flight details are provided post-payment.
 

Payments

Payment timing depends on when and what type of services are booked:

  • A deposit is required upon itinerary Confirmation (the "Confirmation Deposit"). The amount varies based on our partners' requirements and may range from 25% to full payment for certain Accommodations or Local Services. We will inform you of the specific deposit amount in your invoice.

  • The balance of your booking is due no less than 90 days before the Starting Date (the "Starting Date"), which is the date and time of the first service (e.g., airport pick-up). If the balance is not paid by the due date, your booking may be canceled, and the Confirmation Deposit retained. We will make every attempt to work with our clients on payments. All rates are in USD unless otherwise specified, with multiple payment options available.

Pricing, Validity & Currency

All prices are quoted in the currency specified and are subject to availability at the time of booking. Prices are valid only for the period stated in your proposal and may change due to factors beyond our control, including but not limited to currency fluctuations, supplier rate changes, fuel surcharges, or government-imposed taxes or fees.
 

Any increase in costs after confirmation will be communicated promptly and may require additional payment by the Client.

Changes to Your Itinerary

Client‑Requested Changes Any changes requested after confirmation may result in additional fees, supplier penalties, or revised pricing. Uniquely Italy is not responsible for fees imposed by Suppliers due to modifications.
 

Supplier or Operational Changes Occasionally, Suppliers may make changes to confirmed arrangements. A material change is one that significantly alters the nature or cost of the Services. In such cases, we will notify you as soon as reasonably possible and advise of available alternatives or remedies.
 

Minor changes that do not materially affect the overall experience do not constitute grounds for cancellation or refund.
 

Cancellations & Refunds

You may cancel your confirmed itinerary at any time before the Starting Date by notifying us in writing. Cancellation fees apply as follows:​

  • Cancellation policies are dictated by individual Suppliers and may be strict. Uniquely Italy’s planning and service fees are non‑refundable once work has commenced. Any refunds due will be processed only after received from the Supplier and are subject to their terms.

  • A bank or transaction fee may apply and will be communicated to the Client

 

Cancellation and Payment Policy for Experiences and Accommodations

To ensure the highest quality of service and availability, we require full payment 90 days before your arrival date. This policy allows us to confirm all reservations and experiences on your behalf.

A non-refundable deposit is required to secure your booking. This deposit is retained in the event of cancellations, changes to your itinerary, no-shows, or early departures.

For packages including accommodations or special events, specific cancellation and payment policies may apply, as dictated by our partners. 
 

In cases where no specific policy is indicated, our general cancellation policy will be in effect.

We strive to be transparent about all policies affecting your travel plans. If you have any questions or need clarification, please don't hesitate to reach out to our dedicated customer service team.

Non-Refundable Tickets

Certain services, such as ferry or train transfers, and event tickets (e.g., concerts, exhibitions), are non-refundable once purchased and may require rebooking.
 

Accommodation Changes or Cancellations

Accommodation providers’ change and cancellation policies will apply. Notify us of any desired changes or cancellations in writing, allowing an additional 5 business days to manage the process. We cannot guarantee changes or cancellations in less time and are not liable for missed deadlines unless notified at least 5 business days in advance.
 

Changes to Local Services

If you wish to modify your Local Services after Confirmation, notify us in writing. We will inform you if the changes are possible and any associated costs. If changes are not feasible, the original services remain valid.
 

Partner Changes or Cancellations

If a Partner significantly changes or cancels your Local Service, we will inform you immediately. If the proposed changes are unacceptable, we will attempt to arrange an alternative service or provide a refund.
 

Events Beyond Our Control

Uniquely Italy, LLC and its Partners are not liable for delays, cancellations, or any losses resulting from events beyond our control (e.g., war, natural disasters, pandemics, transportation strikes). In such cases, we will endeavor to reschedule services or provide refunds where possible.
 

Travel Insurance

Comprehensive travel insurance is strongly recommended. Insurance should cover trip cancellation, interruption, medical expenses, evacuation, and personal liability. Failure to obtain insurance constitutes acceptance of all associated risks and a waiver of claims against Uniquely Italy for losses that could have been insured.

Our Rights to Make Changes

We reserve the right to make minor changes to your booking, provided the overall quality and itinerary remain consistent.
 

Our Responsibilities

We select our Partners with care and will not be liable for any issues arising from their services if they have been chosen with reasonable skill.
 

Assistance

If you need assistance during your trip, please contact us via the email or phone number provided in your itinerary.
 

Loss or Damages

Uniquely Italy, LLC is not responsible for unforeseen damages, losses, or expenses that arise beyond our control or those of our Partners.

 

Limitation of Liability

To the fullest extent permitted by law:

  • Uniquely Italy shall not be liable for indirect, incidental, consequential, or special damages.

  • Total liability shall not exceed the total fees paid to Uniquely Italy for the Services.

  • We are not responsible for injury, loss, delay, inconvenience, or damage caused by events beyond our reasonable control, including force majeure events.

Force Majeure

Uniquely Italy shall not be liable for failure to perform obligations due to events beyond reasonable control, including but not limited to natural disasters, pandemics, governmental actions, strikes, or supplier insolvency. In such cases, refunds are subject to Supplier policies.

Your Responsibilities

Ensure the suitability of your chosen Local Services for your needs and fitness levels. Verify passport, visa, health, and immigration requirements applicable to your travel plans well in advance. Any non-compliance that leads to travel disruptions is your responsibility.

 

Complaints & Claims

Any complaints must be communicated in writing within 14 days of travel completion. Failure to notify within this timeframe may result in forfeiture of any claim.

Privacy

We collect and process personal information necessary for designing your itinerary and booking services. For more details, please refer to our Privacy Policy. We may also request approval and access to images or videos from your experience you would like us to use on our website or social media.
 

Severability

If any part of these Terms and Conditions is deemed unlawful, the remaining sections will continue to be in full effect.

Miscellaneous

At Uniquely Italy, we strive for excellence in all our communications and services. However, we kindly ask for your understanding in the rare event of typographical or printing errors, including those related to pricing.
 

We value your health and comfort. While we make every effort to accommodate food allergies and dietary restrictions, working closely with our suppliers, we cannot guarantee that all requests will be met. We appreciate your understanding in this matter.
 

By engaging our services, you grant Uniquely Italy, LLC and its partners permission to capture and use photographs or video recordings from your trip for promotional and commercial purposes, without current or future compensation.

Uniquely Italy, LLC may request images or videos from you to use for promotional and commercial purposes. Those requests will be made in writing. 
 

We may use any testimonials you provide about our services for promotional or commercial purposes, again without current or future remuneration.
 

We appreciate your cooperation and understanding of these terms, which allow us to continually improve and showcase our bespoke Italian experiences.
